G.1 INTRODUCTION

The purpose of this document is to describe the Cornerstone reports that are available using the Ad Hoc report writing tool called FoxFire. These reports have been developed using FoxFire so that they may be modified or expanded upon by the users requesting the reports.

FoxFire is a commercially available software product that is designed for use with the type of database files in Cornerstone. Previously, all Cornerstone reports were pre-defined and could not be modified by the users of the reports. Only the Cornerstone development team could change the reports based on approved change requests.

This new type of reporting is referred to as "Ad Hoc" reporting versus "hard coded" reporting. This approach gives users greater flexibility in reporting on the data contained in Cornerstone. By developing specific reports in FoxFire, users will now be able to modify these reports, if desired, to meet their unique reporting needs.

With FoxFire, a report can be prepared by running a pre-defined report request. If the user wants to make changes to the report's formatting, filtering, sorting, processing or data content, then changes can be made to the report request using FoxFire.

This appendix explains how to create and use the standard versions of the Cornerstone FoxFire reports. It also explains each report request and a description of the content and usage of each report. (Please note that Appendix H - Cornerstone Data Dictionary is also useful when using FoxFire.)

The standardized versions of these reports will be supported in the same way as other Cornerstone reports. The only significant difference between the FoxFire reports and other Cornerstone reports is in the way the FoxFire reports are requested.

To make changes to these reports, users will need to obtain the document titled "Ad Hoc Reporting Using the Cornerstone Data Base." This document explains the Cornerstone database, as well as how to use FoxFire to modify these reports in order to produce customized reports. In addition, users should also consult the FoxFire User Reference Manual.

G.2 STANDARDIZED CORNERSTONE FOXFIRE REPORTS

Following is a list of the standardized reports that are currently available through FoxFire. Since FoxFire is a new tool, the initial set of report requests is limited. Current reports are available for the Breast and Cervical Cancer and Early Intervention programs.

G.3 FOXFIRE START-UP PROCEDURES FOR LOCAL USERS

Following are instructions for local users on how to access FoxFire from their workstation. Note that Central Office users may have to use some installation-specific steps that will be tailored for the user's workstation. The user ID will normally be "CSREAD". A password will also need to be issued by the Department through the user's Cornerstone liaison in order to begin using FoxFire for these reports.

Step-by-Step Instructions

  1. Go to the Cornerstone Windows Start Up Screen
    • If Cornerstone is open on the user's workstation, exit the application and return to the Windows Start-Up Screen.
    • If the user is just starting their workstation, skip to step 5.
  2. Click on the "Start" button at the lower left-hand corner of the screen.
  3. Select the "Shut Down" option.
  4. Select the "Close all programs and log on as a different user" option from the Shut Down Windows screen. Click on the "Yes" button.
  5. The Enter Network Password screen will be displayed. Enter "CSREAD" in the User Name field.
  6. Enter the password (assigned to the user when they were given the access rights to run FoxFire). For assistance, contact a Cornerstone Liaison.
  7. The Cornerstone Windows Start Up screen will be displayed. Click on the "Start" button at the lower left-hand corner of the screen.
  8. Select the Programs menu option. The FoxFire Ad Hoc Reporting option is now available.
  9. Select the FoxFire Ad Hoc Reporting option, and click on the FoxFire program to activate FoxFire.
  10. The FoxFire start-up screen will be displayed, and then the FoxFire start-up report request Preference Set.
  11. If the user has problems with these procedures, the user should contact their local agency Cornerstone Liaison. Problems with accessing FoxFire can also be addressed by the Cornerstone Service Desk® at (866) 791-4554.

G.4 FOXFIRE REPORT REQUEST PROCEDURES FOR LOCAL USERS

After accessing FoxFire, a list of available reports that may be requested from the FoxFire start-up Preference Set will be displayed. A Preference Set is simply a grouping of related report requests that share a common set of data item definitions in the data dictionary, use the same database relationships, and use the same global FoxFire parameters. The start-up Preference Set is simply the default Preference Set.

NOTE: The BCCP - Rescreening Rate Report (BCCPRSRR) uses FoxFire's "Batch Run" process because it requires a series of separate requests. For instructions on how to run the BCCP - Rescreening Rate Report (BCCPRSRR), refer to "G.5 FoxFire Batch Run Request Procedures For Local Users" in this appendix.

Step-by-Step Instructions

  1. Click on the FoxFire menu choice on the top toolbar and pick the Preference Sets option from the pull-down menu. A list of all preference sets will be displayed.
  2. Select the desired Preference Set. This should return the available list of report requests. The proper Preference Set name is identified in each individual report description. BCCP reports use the Preference Set named "BCCP Reports," and EI reports use the Preference Set named "EI Reports."
  3. Once the user has the desired Preference Set, select the desired report.
  4. Click on the "Run" menu choice button at the bottom of the screen. The report will run and print on the designated printer or output source.

NOTE: If error messages are displayed, exit FoxFire and start over with step 1. If the user still has problems with these procedures, the user should contact their local agency Cornerstone Liaison to obtain appropriate support.

  1. To modify or enhance a report, make a separate copy of the report request and refer to the separate instructions that are available for using FoxFire with Cornerstone to do Ad Hoc reporting. These instructions can be obtained through a Cornerstone Liaison.

G.5 FOXFIRE BATCH RUN REQUEST PROCEDURES FOR LOCAL USERS

The Batch Run function is used for reports that require multiple steps, or for producing a series of reports.

Step-by-Step Instructions

  1. Click on the FoxFire menu choice on the top toolbar and pick the Preference Sets option from the pull-down menu. A list of all preference sets will be displayed.
  2. Select the desired Preference Set. This should return the available list of report requests. The proper Preference Set name is identified in each individual report description. BCCP reports use the Preference Set named "BCCP Reports," and EI reports use the Preference Set named "EI Reports."
  3. To run a report that requires multiple requests, click on the FoxFire menu choice on the top toolbar and pick the "Batch Builder" option from the pull-down menu. This will then display the Batch Builder screen.
  4. Select "Open Batch" from the bottom of the screen. The standard Windows File Open screen will be displayed.
  5. Select the appropriate batch file normally located in the FoxFire output directory. The batch file is named the same as the desired report. Select the file, or click OK. The desired series of requests will run, and the associated report(s) will be printed.

NOTE: If error messages are displayed, exit FoxFire and start over with step 1. If the user still has problems with these procedures, contact a local agency Cornerstone Liaison to obtain appropriate support.

G.6 FOXFIRE REPORT REQUEST DESCRIPTIONS

G.6.1 BCCP - RESCREENING RATE REPORT (BCCPRSRR)

Brief Description

This report provides a summary of sites and their rescreening rates for services provided to participants through the Breast and Cervical Cancer Program (BCCP). This is a composite report showing both breast and cervical cancer rescreening rates.

This report lists the lead agency ID number, clinic ID number, site name and the rescreening rates for mammograms and pap smears performed for each clinic ID number.

The desired screening and rescreening cycle date ranges will need to be entered in order to produce the report. Normally, the user should select a rescreening date range that covers the 18-month period following the end of the initial screening cycle date range. This report would normally be run on a monthly or quarterly basis to gauge a site's success at rescreening participants within the BCCP program.

The rescreening rate is defined as the total number of participants who were rescreened during a designated time period following the initial screening time frame (i.e., screened again after being selected in the initial screening period) divided by the total number of participants screened during the initial screening time frame that is selected.

The rescreening rate is calculated separately for mammograms and pap smears. In order to calculate the rescreening rate for mammograms, the number of "BCS" service type records is accumulated for participants in the screening cycle table (BCCPROG) during the selected screening or rescreening time span. Each participant, however, will be counted only once in order to eliminate any duplicate screening cycle records. The same process is completed for pap smears by accumulating the number of "CCS" service type records. Individual procedure records or screening cycle status codes are not considered as a part of this calculation.

This report is contained in the FoxFire Preference Set named BCCP Reports. However, it needs to be created using FoxFire's the FoxFire Batch Run Request Procedures For Local Users because it requires that a series of separate requests be processed prior to generating the report. These preliminary requests produce intermediate output files. The processing flow used to create this report is illustrated in the diagram in the "G.7.1 BCCP Report Processing Flow - BCCPRSRR" section in this appendix. The Batch Run file for the report is named BCCPRSRR.DBF.

G.6.2 BCCP - BREAST RESCREENING RATE SUMMARY REPORT (BCCPBCSR)

Brief Description

This report provides a count of initial breast screenings and rescreenings by a site along with the site's rescreening rate for breast cancer screening cycles. This report only shows breast cancer rescreening data. The data is used as input to the BCCP Rescreening Rate Report.

This report lists the clinic ID number, breast screening cycles for individual participants, the number of them that were rescreened during the selected rescreening period, and the mammogram rescreening percentage for each site.

The desired screening and rescreening cycle date ranges need not be entered for this report, as they have been entered previously.

This report would normally be run on a monthly or quarterly basis to gauge a site's success at rescreening participants within the BCCP program.

The rescreening rate is defined as the total number of participants who were rescreened during a designated time period following the requested initial screening time frame divided by the total number of screened participants during that requested time frame.

In order to calculate the rescreening rate for mammograms, the number of "BCS" service type records is accumulated for participants in the screening cycle table (BCCPROG) during the designated screening or rescreening time span. Each participant, however, will be counted only once in order to eliminate any duplicate screening cycle records. This report lists the clinic ID number, cervical screening cycles for individual participants, the number of them that were rescreened during the selected rescreening period, and the pap smear rescreening percentage.

The desired screening and rescreening cycle date ranges need not be entered to produce this report, as they have been entered previously.

This report would normally be run on a monthly or quarterly basis gauge a site's success at rescreening participants within the BCCP program.

This report will list the participants in the initial screening time period as selected by the user.

This report is intended to be a tool used to improve rescreening rates by identifying participants that were initially screened, but not yet rescreened. This report lists the clinic ID number, service type "BCS" for breast screening or "CCS" for cervical screening, participant ID number, screening cycle date, and the participant's first and last name. A participant will only be listed once per service type even if multiple screening cycle records are encountered because the report request will eliminate duplicates. Totals are also provided by service type and site. These are the totals used to calculate the rescreening rates.

This report will list the selected initial screening date range (filters) and a user-entered report title on the report.

The desired initial screening cycle date ranges will need to be entered in order to produce the report. Normally, the user should select an initial screening date range that is about one year in the past so that sufficient time has passed to allow for rescreening cycles to start. This report would normally be run on a monthly or quarterly basis to gauge a site's success at rescreening participants within the BCCP program.

This report is contained in the FoxFire Preference Set named BCCP Reports and is produced using the FoxFire Report Request Procedures For Local Users.

This report will list the participants in the initial screening time period as selected by the user.

This report is identical to the BCCP Initial Screening Report by Date Range (BCCPISCR) except that it is produced from an intermediate output file that is identical to the BCCPISCR report. Therefore, this report does not require the entry of filters since they were previously entered during the batch run of the BCCP - Rescreening Rate Report. These filters can only be printed on the BCCPISCR version of the report.

This report is intended to be a tool for identifying participants that were initially screened, but not yet rescreened, in order to improve rescreening rates. This report lists the clinic ID number, service type "BCS" for breast screening or "CCS" for cervical screening, participant ID number, screening cycle date, and participant first and last name. A participant will only be listed once per service type even if multiple screening cycle records are encountered because the report request will eliminate duplicates. Brief Description

This report provides a list of all participants' screening cycle records contained in the BCCP program data table (BCCPROG) during a selected screening date range while enrolled in the Breast and Cervical Cancer Program (BCCP). This report can be used to list individual screening records and to verify data contained in other reports such as the rescreening rate calculation on the BCCP - Rescreening Rate Report (BCCPRSRR). This report will list the participants in the screening time period that is selected by the user.

This report lists the clinic ID number, participant ID number, service type "BCS" for breast screening or "CCS" for cervical screening, screening cycle date, and the participant's first and last name. A participant will be listed as many times as they have screening cycle records within the selected time period.

This report will list the selected screening cycle date range (filters) and a user entered report title on the report.

This report is contained in the FoxFire Preference Set named BCCP Reports and is produced using the FoxFire Report Request Procedures For Local Users.

G.6.9 EI - SUMMARY OF ELIGIBILITY DETERMINATIONS REPORT (HSPR0776)

Brief Description

This report provides a summary of Early Intervention (EI) determinations by eligibility determination code within a selected date range. This allows for distinguishing between the number of children that are found to be eligible for ongoing EI services and the number that are determined to be ineligible by reason. The report tabulates the number of determination for each type of determination code.

The report is used by EI program management personnel to monitor the number of program determinations by type (both eligible and ineligible) for a specified reporting period.

This report is produced using the FoxFire Report Request Procedures For Local Users.

G.7.1 BCCP REPORT PROCESSING FLOW - BCCPRSRR

Batch Processing Flow Required to Produce BCCPRSRR

The BCCP - Rescreening Rate Report (BCCPRSRR) is created using FoxFire's batch processing function because it requires a series of separate requests to be processed prior to generating the report. These preliminary requests produce intermediate output files. The processing flow used to create this report is shown on the diagram on the following page. The Batch Run file for the report is named BCCPRSRR.DBF.

Note that the BCCPISCF file is the same as report BCCPISCR and the BCCPRSCF file is the same as report BCCPRSCR with an output option of "DBF file."

BCCPBCSF combines the breast cancer screening cycle information to calculate a mammogram rescreening rate. BCCPCCSF combines the cervical cancer screening cycle information to calculate a pap smear rescreening rate.

Some of the requests use intermediate files that are created in the Batch Run process used to produce the BCCP Rescreening Rate Report. For these requests run this batch run process before running these individual requests.
