10,000 Documents Already Uploaded to the Centralized Repository Vault (CRV)

The Illinois Department of Human Services (IDHS) has good news to announce about an initiative that saves both time and money and streamlines the way the State does business with providers.

Launched just three months ago, the Centralized Repository Vault (CRV) has already surpassed the total of 10,000 documents uploaded to the CRV system. As of October 3, 2012, there are 1,084 registered providers. Providers have uploaded 10,049 documents, which is equal to saving an estimated 100,000 sheets of paper! In addition, uploading these documents to the CRV has eliminated the need for providers to make duplicate copies and send them to various State human services agencies for filing and storage. It also reduced postage costs for providers.

The CRV is helping to reduce the amount of paper and filing shown.The CRV is a key project in the overall Management Improvement Initiative, which was signed into law by Governor Quinn on August 25, 2011 as Public Act 97-0558. The Management Improvement Initiative in general aims to create greater efficiencies in business practices by the State human services agencies and ultimately foster a network of human service provision in Illinois that will enable a greater level of direct service to our vulnerable citizens, even despite the current economic crisis.

The CRV specifically is a technology solution used to house and manage the key documents of the organizations that provide services on behalf of the State. Providers simply upload documents to this tool, which eases the administrative burden of service providers in responding to the numerous data requests necessary to retain contract compliance.

While the provider community is uploading documents to the CRV on the front-end, the primary end-users of the CRV are State staff members who engage in functions related to provider review, licensure, accreditation, certification, monitoring, compliance and/or audit ("user functions"). These staff members may be housed in various program divisions and departments across the agency. Those end users have been identified and trained on the CRV and its functionality. Audit staff have already been using the CRV to access documents.
