Update Reminder Information

Use this wizard to search for and update a CCMS Reminder. A CCMS Reminder is an informational pop-up that appears to alert the user that a task is upcoming or overdue. All reminders are associated with a CCMS task. CCMS reminders are similar to Microsoft Outlook Express meeting reminders. Users with Manager security role can update reminder information for their agency.

Each organization's supervisors have the ability to customize when the reminder will appear to the user.

Example: A reminder that the due date of the task is schedule 2 days before the task is due. A Supervisor can search for the task and edit the reminder information so the reminder appears 3 days before the task is due.

Search for a Reminder - Process Steps:

  1. Scroll to the Tasks/Reminders Search section of the page.
  2. Select the correct Location from the drop-down list. Each organization has the ability to customize the timing of reminders to its users.
    • Example: SDA 1 can choose to have a reminder appear 2 days before an RAI is due. SDA 6 may choose to have the same reminder appear to their organization's users 3 days before the RAI is due. Each organization has the ability to customize the timing of reminders.
  3. Select the Function the reminder is associated with from the drop-down list. A Function is the category tasks and work items are grouped by. Similar tasks, reminders, and work items are grouped into the same Function.
    • Customer Service: This function contains items associated with Customer Service actions, such as policy clarifications or service requests.
    • Eligibility: This function contains items associated with applications, case management, and eligibility determination.
    • PIQA: This function contains items associated with Program Integrity and Quality Assurance.
  4. Select the correct Tasks/Reminders from the drop-down list.
  5. Click [Search] to search for the Task. You can also click [Reset] to clear all fields on the page and begin a new search.
  6. Possible results display in the Tasks/Reminders section of the page.
  7. The below information will display for each Task/Reminder.
Field Description
Tasks/Reminders This is the text that appears to the user as the reminder.
Mandatory BCCD will review all reminders and mark certain reminders as mandatory. A CCR&R/SITE cannot disable mandatory reminders and this reminder will always be enabled. (Y = Mandatory, N = Not Mandatory)
Enabled If a reminder is not marked as mandatory by BCCD, the CCR&R/SITE can choose to make the reminder active or inactive for its users.  (Y = Enabled/Active - This reminder will appear to users, N = Disabled/Inactive - This reminder will not appear to the user.)
Days Before Due Date This is the number of days before the due date the reminder will appear to the user.
Days After Due Date If a task is not cleared by the due date, this field displays the number of days after the due date the reminder will appear to the user.

Update a Reminder - Process Steps:

  1. Search for the Reminder you wish to update.
  2. In the Tasks/Reminders section of the page, click on the Reminder you would like to update.
  3. Click [Update Task/Reminder]. The Reminder Information pop-up window appears.
     OR
  4. For CCR&R/Site users, the Mandatory field will be inactive. Only BCCD Super Users have the ability to make a reminder mandatory. BCCD will set this field to Yes or No.
    • Reminder! A mandatory reminder will always be enabled and active to users. A CCR&R/Site does not have the ability to disable the reminder. If a reminder is not mandatory, a CCR&R/Site has the ability to enable the reminder. A CCR&R/Site can choose to disable a non-mandatory reminder so it will not appear to users.
  5. If a Reminder is not mandatory, the Enabled field is active for CCR&R/Site Managers. Click the radio button next to Yes or No to enable or disable the reminder for users.
  6. In the Number of Days from Work Item Creation Date field, enter the due date of the task from the date the task is generated. The remaining fields in the Alert Information pop-up window are dependent on this field.
    • Example: When a Request for Information is created, the client should return the form within 10 days. To document this information, enter 10 in the Number of Days from Work Item Creation Date field.
  7. Active field for BCCD Users Only: Enter a number in the From and To fields under Range for Days Before the Due Date. This date range is the boundaries a CCR&R/Site can choose to customize the reminder with.
    • Example: If a BCCD user enters 3 in the From field, and 7 in the To field under Range for Days Before the Due Date, the CCR&R/Site can choose to have the reminder appear to user's either 3, 4, 5, 6, or 7 days before the task due date. The CCR&R/Site will record their choice in the Days Before Due Date field.
  8. To be completed by CCR&R/Site: Enter a number in the Days Before Due Date field. This number must be between the range listed in the From and To fields under Range for Days Before the Due Date.
    • Example: If the CCR&R/Site enters 3 in the Days Before Due Date field, the reminder will appear to the user 3 days before it's due.
  9. Active field for BCCD Users Only: Enter a number in the From and To fields under Range for Days After the Due Date. This date range is the boundaries a CCR&R/Site can choose to customize the reminder with. The reminder will only appear to the user if the tasks is still outstanding.
    • Example: If a BCCD user enters 2 in the From field, and 5 in the To field under Range for Days Before the Due Date, the CCR&R/Site can choose to have the reminder appear to user's either 2, 3, 4, or 5 days after the task due date. The CCR&R/Site will record their choice in the Days Before Due Date field.
  10. To be completed by CCR&R/Site: Enter a number in the Days After Due Date field. This number must be between the range listed in the From and To fields under Range for Days Before the Due Date.
    • Example: If the CCR&R/Site enters 3 in the Days Before Due Date field, the reminder will appear to the user 3 days after it's due.
  11. Click [Save] to save the Reminder information. Click [Cancel] to cancel the update without saving any information.
  12. A confirmation window appears to notify you the reminder information has been updated.

You can search for and update Reminder Information for a specific CCR&R/Site.

  1. Is the Due Date for each Work Item automatic in accordance with policy?
    1. No, this information is not automatic, however the BCCD team, including the policy team provides guidance on the due date for each work item.
