new manual text Entering Work and Training Activities

When a customer volunteers to participate in SNAP E&T, enter the work and training activity in the designated fields as follows:

  1. From Left Navigation, select Data Collection, Initiate Data Collection
  2. On the Initiate Data Collection screen:
    1. enter case number; and
    2. in the drop down box of "What Action do you want to Perform?" select Case Change, click Next.
  3. Scroll down and click Nonfinancial, Miscellaneous and then SNAP E&T. The SNAP E&T Screen displays.
  4. On the SNAP E&T Screen, enter the appropriate information in the designated fields:
    1. Under the section Individual Information, from the drop-down box, select the individual who is participating in the activity.
    2. Under the section SNAP E&T Information, in the appropriate drop-down box, select the appropriate:
      • Activity Type - Select the appropriate approved employment and training activity in the drop down box. If the customer is in more than one activity, each activity must be selected separately. Click Add after each activity selected.
      • Activity Month - Enter the effective month the activity starts.
      • Activity Manager - Select based on who will manage the customer's participation in the activity:
      1. Family Community Resource Center; or
      2. SNAP E&T Provider.
  5. If an activity ends or changes DO NOT Click on "EDIT" (pencil). Selecting EDIT will cause all previous activity history to be lost. Instead enter a new activity "Close Out" to show all the previous activity has ended.
  6. Under the section SNAP Work Requirements, enter the:
    1. Required Monthly Participation Hours (Total number of monthly hours the customer is required to participate to be considered active in SNAP E&T);
    2. Actual Participation Hours (Total number of monthly hours the customer spends or Provider anticipates will be spent if not yet completed) in the employment and training activity); and
    3. Monthly Requirements Met? This question should initially be answered (No) because the hours of participation have not been verified yet. Once the FCRC/Workforce Development staff have received verification that the required hours have been met, change the answer to (Yes).
    4. If multiple activities repeat the previous steps. Click Add after each activity selected. Click on the Submit Button, run eligibility and certify the case. The information entered displays in the appropriate columns at the bottom of the screen.

Note: The EDIT pencil only displays if there is a previous activity already added and show at the bottom of the screen where the activities are listed.

Close Out or End an Activity

To indicate when an activity has ended, Do Not EDIT activity, enter a new activity type "Close Out" as follows:

  1. From Left Navigation, select Data Collection, Initiate Data Collection.
  2. On the Initiate Data Collection screen:
    1.  enter case number; and
    2. in the drop down box of "What Action do you want to Perform?" select Case Change, click Next.
  3. Scroll down and click Nonfinancial, Miscellaneous and then SNAP E&T. The SNAP E&T screen displays.
  4. On the SNAP E&T screen, enter the appropriate information in the designated fields:
    1. Under the section Individual Information, from the drop-down box, select the individual who is participating in the activity.
    2. Under the section SNAP E&T Information, in the appropriate drop-down box, select:
      • Activity Type - in the drop down select "Close Out".
      • Activity Month - enter the effective month the activity ends/changes.
      • Activity Manager - Select based on who will manage the customer's participation in the activity:
      • Family Community Resource Center; or
      • SNAP E&T Provider.
  5. Under the section SNAP Work Requirements, enter the:
    1. Monthly Participation Hours - enter (0).
    2. Actual Participation Hours - enter (0).
    3. Monthly Requirements Met? enter (No).
    4. Click Add.
    5. Click on Submit Button, run eligibility and certify the case.
  6. Note: There is not an end date for activities in IES. When an activity ends, a new activity of "Close-Out" must be entered to show the activity(s) have ended and to ensure the SNAP E&T monthly report accurately reflects the customer's activity. If an activity stops/changes or the customer becomes employed, manually add the "Close Out" activity to show the customers participation in the SNAP E&T activity has ended

Change Activity or New Activity

  1. To enter a new activity, repeat the procedures under the section, Entering Work and Training Activities above. Do not use the Edit function.
  2. Once an activity has been added, IES will read it as an ongoing activity until the "Close Out" activity has been entered.
  3. If the customer's activity changes (Do not use the Edit function), add a new activity "Close Out" to close the old activity(s).
