Summer 2024 Quarterly Vendor Call Minutes

FY2025 Contracts

  • All Contracts have been sent via DocuSign, and almost all have been fully executed as of today. Your prompt and diligent response to these contracts is greatly appreciated and plays a crucial role in the smooth operation of the WIC program.
  • Please review the contents of the contract and keep a copy for your records. If you cannot retrieve the contract from DocuSign and need another copy emailed, please email us and provide your store name and WIC Vendor ID.
  • Note that if you are part of a chain, the contracts are usually maintained at a central or corporate office, and you do not need to keep a copy at your store.
  • Thank you all for working with us to complete these reapplications and annual training on time without any real issues.

APL

  • As a reminder, the state can update the APL daily. Because of this, you must work with your POS Provider to make sure that your store follows the EBT Operating Rules and is applying the most recent APL to your system no later than within 48 hours of the APL file creation date and time that is recorded in the APL file header record. That means your APL file should be updated at least every 2 days.
    • Failure to update APL files may lead to transaction errors and customer confusion at the cash register. This could potentially result in loss of sales and customer dissatisfaction.
  • If you use a stand-beside device to complete WIC transactions, please ensure that your device remains powered on and connected to the internet overnight. This is crucial for receiving and implementing any updates, including APL changes, to the machine correctly.

Contract Formula Availability

  • We have been closely monitoring the supply of Enfamil Gentlease, Reguline, and A.R. and have regularly communicated with the manufacturer regarding possible disruptions to the availability of these products after a tornado impacted one of their warehouses.
  • We are noticing that some vendors are struggling to maintain stock of these products currently, and we are working with participants where necessary to ensure they can get their formula.
  • We do ask, though, that any vendors who have stores in Illinois and surrounding states that do not have contracts with Mead Johnson for WIC please try to prioritize the movement of these products to Illinois stores, where demand should be higher.
  • We hope to see improvement in supplies soon. Please let us know if you continue to have problems beyond the end of August.

Reminders

  • I want to take this time to remind everyone that Enfamil Infant and Enfamil ProSobee are part of the minimum stock requirements, which means you must maintain stock of at least 10 or 20 cans combined of both formulas. The quantity depends on the size of your store. Since this supply chain issue has impacted neither of these formulas, minimum stock requirements are still being enforced. If we see these changes, we may re-evaluate them, but we will only do so once we have confirmed a supply chain issue with the manufacturer.
