With the implementation of CCMS, select users will also be provided access to InfoView, where they can create and customize CCMS reports. The purpose of the Reports Job Aid is to provide step-by-step instructions on how to create CCMS Reports.

How to Create a CCMS Report

You can create reports when desired to better understand clients and their cases as well as your job role.

  1. Log on to InfoView by typing the following URL into your browser: http://dhsboe02/businessobjects/enterprise115/InfoView/logon.aspx
  2. Access the InfoView Log On window and complete the User name and Password fields with your log-on information.

    • Do not make changes to the System or Authentication field unless instructed.
  3. Click [Log On]. The Infoview Home page displays.
  4. Select the Document List folder on the page.
  5. Choose the Public Folder from the left hand menu options.
  6. Double-click the CCMS folder to view a list of available CCMS reports.
  7. A list of CCMS reports available for viewing display.

    Column Headers:
    Title - Name of report with links to schedule new reports or view reports previously ran.
    Last Run - Time and Date of last time you created the report.
    Type - Always displays Crystal Report.
    Owner - Your InfoView user name.
    Instances - Number of times you have created the report.
  8. Double-click on the report you would like to create OR right-click on the report and select [view].
  9. On the Parameters page for the report you have selected, select the parameters you wish to include from the Available Values box and hit the [>] button to move them to the Selected Values. 
  10. If you want to select all options to include, choose the [>>] button.
    Important! Parameters are choices you have to customize the CCMS report. Parameters are options which allow you to select what information will be included in the report, and how it will be filtered. Each report will have a different set of parameters to choose from.
  11. Repeat steps 9-10 as necessary.
  12. Click [OK] to set parameters.
  13. The newly created report displays.

How to Print a Report

  1. Click the Print icon in the top left-hand corner of the report. The Print dialog box displays.
  2. Set print options in the Print dialog box.
  3. Click [OK].

How to Export a Report to a Different Format

Using InfoView, you have the ability to export reports to various formats, including Adobe PDF and Microsoft Excel for easy viewing and sorting of data.

  1. Click Export icon in the top left-hand corner of the report
  2. Select the file format you wish to view the report in the File Format drop-down menu.
  3. Click [OK].

Important! Exporting a report to Excel can be an effective way to understand the data. When exporting to Excel, it is recommended to export to the "Excel - Data Only" option. Remember to use the Sort function in Excel to arrange the data how you wish to view it.

How to Display Report History

You can use the Report History feature to view past versions of the report.

  1. Navigate to the CCMS InfoView page.
  2. Single-click the report for which you wish to view history.
  3. Select the Action dropdown and click [History] to view past reports.
  4. Click the [Time and Date] hyperlink under the Instance Time column to view a specific report that has ran in the past.
  5. If you need to search for a specific report, check the Show only instances owned by me checkbox to show reports created only by you.
  6. Check Filter Interactions By Time checkbox and complete the Start field date and time and the End field date and time to set the search timespan.
  7. Click [Apply Filter]. Reports fitting filter are displayed.
  8. Click the [Time and Date] hyperlink under the Instance Time column. The report displays.

How to Designate the CCMS Report as Your Default InfoView Homepage

In some instances, a user may have access to view or create various system reports (i.e.: a user can view both CCMS and the Temporary Assistance Needy Families (TANF) Programs). You can use the below steps to designate the CCMS Report as your default InfoView homepage.

  1. Click the preferences icon in the top right-hand corner of the CCMS InfoView page. The Preferences window is displayed.
  2. Click [Browse] on the row with the folder radio button under the My initial view is ….page.
  3. Click [CCMS] folder, then click [OK].

How to Change Your InfoView Password

You can use these steps to change your InfoView password.

  1. Click the preferences icon in the top right-hand corner of the CCMS InfoView page. The Preferences window displays.
  2. Scroll to the Change Password section of the page.  Click to expand.
  3. Select the Password tab and complete the following fields: 
    • User Name: Type your Infoview User Name
    • Old password: Type your current password
    • New password: Type your new password
    • Confirm new password: Retype your new password
  4. Click [Submit].

CCMS Reports: Frequently Asked Questions

  1. Does this show only reports ran by the user, their organization, or the whole state?
    1. If you have access, you will be able to see the history for all CCMS users for each report. This can be used to have a better understanding of which reports other locations are running. You can also see the other parameters another location is using so you too can recreate this report for your location.
